Privacy Policy

Effective date: 11 October 2026.

This notice explains how Premier Possible handles personal information across its property and hospitality platform, including accounts, listings, enquiries, messaging, AI tools, maps, credits, Insights and event information. It describes our processing; it is not a request for blanket consent and does not waive your rights.

1. Who is responsible for your information

The operator of PremierPossible.com is responsible for deciding how personal information is used to operate PremierPossible.com. Property publishers, agencies, hotels and other recipients of your enquiries are separately responsible for their own follow-up and use of that information. Our role in any processing performed solely on a business customer’s documented instructions must be addressed in an appropriate data-processing agreement; these public policies do not replace such an agreement.

2. Information we receive

  • Accounts and profiles: your name, username, email, contact and business details, account type, profile information, authentication and verification status, preferences and account activity. We record registration agreements, their versions, time and relevant technical information to document acceptance.
  • Social sign-in: when offered and chosen, Google or Facebook may provide a provider-specific identifier, name, email and other basic profile information permitted by the sign-in flow. We use linked-account information to authenticate you. We do not receive your social account password; the provider also processes your interaction under its own privacy notice.
  • Listings and professional tools: listing titles, descriptions, prices, property addresses and coordinates, photographs, videos, documents, amenities, accommodation or unit details, owner/contact details, imported records and changes. Content may come from you, an authorized feed, an import URL or public property data.
  • Communications: enquiry forms, BuddyPress messages, AI chat messages and responses, contact details you share, support requests, reports, follow-up permissions and related timestamps. We may retain a record of the consent wording shown with an enquiry.
  • AI requests and results: prompts, relevant listing fields, images, source material, search requirements, conversation context, generated text/images, suggestions and the usage records needed to run a feature and account for credits.
  • Verification: information and supporting identity or business documents specifically requested through a designated verification process. Do not put identification documents, passwords, payment-card details or sensitive personal information in public listings, ordinary messages or AI prompts.
  • Credits and payments: balances, promotional-credit expiry, credit grants, deductions, removals and administrative adjustments, the feature/listing associated with a charge, refunds, order references and transaction status. Where checkout is available, the payment provider processes payment credentials and provides us with the billing and payment information needed to fulfil and account for an order.
  • Technical information: IP address or a derived network identifier, device/browser information, security and error logs, request times, session and consent identifiers and usage information. Individual features may minimise or hash identifiers; this does not mean all website logs are anonymous.

We receive information directly from you, from the professional or account holder managing a listing, from people communicating with you, and from the providers or import sources you choose. If someone publishes information about you without authority, contact us with the relevant page or listing reference.

3. What is public, and who receives an enquiry

Published listings, public profile fields, public comments and public-facing business/contact details can be viewed worldwide, indexed by search engines and copied by other visitors. Private account settings, private messages and verification documents are not intended to be public. Check both the publication status and the actual page before uploading personal information.

A listing contact form sends your name, email and message to the relevant professional through the platform’s messaging system. A guest enquiry may be delivered through a platform service account for technical reasons; this does not mean that the service account authored or endorsed your message. The professional may respond using the contact details you supplied.

Listing chatbot conversations can be stored and viewed by the listing owner and authorized platform administrators. When the contact-capture feature is enabled, email addresses, phone numbers or messaging details typed into ordinary chat can also be recognised as contact information. The separate contact-sharing flow records permission to follow up. Sharing details about an enquiry does not, by itself, give permission for unrelated marketing.

A professional may use an AI reply-suggestion tool that processes relevant enquiry/conversation text and listing information to prepare a draft response. Avoid including information you do not want the recipient or the relevant AI service to process. Deleting a message or account on our platform does not automatically remove copies already lawfully received by another person.

4. Why we use information and our legal bases

Where the GDPR or equivalent rules apply, the basis depends on the particular purpose. We do not treat all processing as consent-based.

  • Providing an account and requested tools: processing necessary to perform our contract with you or take steps you request before a contract, including authentication, listing management, requested AI functions, credits and support.
  • Delivering and following up enquiries: carrying out your request, our legitimate interests in operating a useful communication service and preventing misuse, and consent where a specific contact-sharing or marketing permission is requested. The receiving professional is responsible for its own lawful follow-up.
  • Operating and protecting the platform: legitimate interests in security, fraud prevention, moderation, service reliability, proportionate verification, debugging and handling complaints. We balance these interests against your rights and expectations.
  • Public listings and profiles: performing the publishing service requested by the account holder; where information concerns someone other than that account holder, the relevant lawful basis must also cover that person, normally a legitimate interest in authorized business/property information subject to their rights.
  • Billing, recordkeeping and legal requests: performing paid orders, meeting applicable accounting and other legal obligations, and legitimate interests in proving agreements and establishing, exercising or defending claims.
  • Optional analytics, advertising technologies and marketing: consent where required. Withdrawing consent does not affect processing already lawfully performed. Essential service and security notices are separate from promotional communications.

Providing some information is necessary to create an account, deliver an enquiry, verify a request or provide a paid tool. If it is not supplied, we may be unable to provide that feature. Optional profile details and optional marketing permissions are not a condition of unrelated services.

5. AI, search, maps and external services

Our AI features include listing descriptions and improvement scans, URL imports, marketing plans, social captions and images, photo enhancement, property-search assistance, listing chat and suggested replies. Depending on the feature, relevant content is sent to an AI provider, including OpenAI, for processing. A message or image can contain personal information even when it is submitted as property content.

Provider-side processing and retention depend on the applicable business agreement, service and configuration. We do not promise that AI requests have zero retention. A privacy notice or agreement to these Terms is not permission for unrestricted AI training or unrelated reuse of private conversations. Any materially different use requires its own lawful basis and appropriate notice.

Search assistance and nearby-amenity scores use the information supplied, listing metadata and external geographic data to provide suggestions. They are not credit, lending, tenant-screening or immigration decisions. Automated anti-abuse measures may temporarily restrict requests; contact us if you believe a restriction is incorrect.

Maps, geographic data, nearby amenities and embedded media may use services such as OpenStreetMap/Overpass, Thunderforest and YouTube. Loading external tiles or media, or following a map/search/contact link, can disclose your IP address, browser information and the relevant location or query to that provider. Where a feature asks for your device location, you can refuse the browser’s location permission. External hotel booking links, messaging apps and third-party sites operate under their own notices.

6. Cookies and similar technologies

We use technologies needed for sign-in, security, remembering choices and delivering requested features. Other technologies, including Google Analytics when enabled, can measure visits and interactions. The cookie-consent controls describe the available categories and allow you to accept, reject or change optional choices. Consent is required for non-essential storage/access where applicable law requires it; simply using this website or accepting the Terms is not that consent.

Use the cookie-preferences control on the website to revisit your choice. You can also remove cookies or limit storage in your browser, although this may sign you out or affect features. An external link is different from an embedded service that contacts a provider while this page is open. The detailed cookie information in the consent interface supplements this notice.

7. Recipients and international processing

Access is limited according to the purpose: the public for published content; the relevant message recipient/listing professional for communications; authorized administrators and support personnel; and suppliers providing hosting, storage, backups, email delivery, security, analytics, AI, maps, authentication or payments. We may disclose necessary information to professional advisers, competent authorities or a successor to the business where there is a lawful basis and appropriate safeguards. We do not make private enquiries available as public listings.

Providers acting on our behalf must be engaged on appropriate data-protection terms. Independent providers, including a professional you contact or a social-login provider, may determine their own processing purposes. Choosing a third-party tool does not remove our responsibility for processing that we control.

Information may be processed outside your country, including outside the EEA. Transfers subject to EEA protection requirements need a valid mechanism, such as an applicable adequacy decision or approved contractual safeguards with any necessary supplementary measures. You can contact us for information about a particular recipient and a copy or description of the applicable safeguards, subject to legitimate confidential information being protected.

8. Retention and deletion

Retention is determined by the purpose, whether an account/listing or enquiry remains active, deletion requests, security needs, contractual disputes and applicable recordkeeping/limitation periods. Personal information should not be retained indefinitely merely because storage is available.

  • Accounts and published content: while needed to operate the account or requested publication, and afterwards only to process closure, resolve a relevant issue or satisfy an identified legal/recordkeeping need. Public visibility and storage of a restricted record are different.
  • Messages, chats, leads and AI results: while needed for the enquiry, the account holder’s requested workflow, support or a relevant dispute. Review takes account of the last interaction, whether follow-up is still reasonably expected, and a request for deletion. A recipient’s own copy is governed by its responsibilities.
  • Verification material: only while needed to carry out/document the verification, consider a challenge or meet an identified legal requirement. Raw identity documents require a separate deletion review; a minimal verification-status record may be sufficient afterwards.
  • Credit, order and agreement records: while needed to reconcile balances, provide refunds, meet accounting obligations and establish or defend claims. Deleting an account does not necessarily require deletion of legally required transaction evidence.
  • Security logs and backups: according to the relevant incident, troubleshooting purpose and backup rotation. Records needed for a specific investigation may be held longer with restricted access. Removed material may remain temporarily in backups until rotation, and should not be restored to ordinary use without applying the deletion again.

9. Your choices and rights

Depending on applicable law, you can request access, correction, erasure, restriction, portability and information about recipients; object to processing based on legitimate interests; and withdraw consent where consent is the basis. Objection to direct marketing can be made at any time. These rights have legal conditions and exceptions, including necessary records for legal obligations and claims.

Send requests to info@premierpossible.com or use our contact form. Tell us the account email and the relevant listing, message or feature. We may ask for proportionate information to verify that the request concerns you; do not send a passport or full payment-card details unless we explain why a secure verification step is necessary. Where the GDPR applies, we normally respond within one month, and will explain any lawful extension within that period.

You may complain to the competent data-protection authority in your jurisdiction, as provided by applicable law. You do not have to contact us first in order to complain. Requests concerning a professional’s independent use of an enquiry may also need to be addressed to that professional.

10. Security, children and changes

We use access controls and other technical and organisational measures appropriate to the information and risks. No website can promise absolute security. Please protect your credentials, review sharing choices and report suspected unauthorized access promptly. A warning about online risks does not exclude our legal security obligations.

Accounts and professional tools are intended for adults aged 18 or over. We do not intentionally invite children to submit personal information. Contact us if you believe a child has provided information so we can assess the appropriate steps.

We update this notice when the service or relevant practices change, show the effective date and provide additional notice where required. A revised notice does not itself authorize a new purpose, replace required consent or retrospectively remove a right. Related documents: Terms & Conditions and Refund & Cancellation Policy.
